This Administrative Assistant position will report to the Senior Director of Sourcing and support several other managers within the Department. Polished and detail oriented, this person must possess sound judgment, with the ability to multi-task and meet deadlines, be relationship oriented and approachable, have high integrity and the ability to handle highly confidential information.
Role and responsibilities
Manage the calendar of several senior managers in the Sourcing & Supply Chain sector.
Assist in the preparation of presentation material, primarily PowerPoint, as well as other documents in Word and Excel.
Manage the signature and electronic handling of Non-Disclosure Agreements (NDA's) and other contractual documents.
Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside companies.
Work with internal as well as external stakeholders to arrange business meetings, luncheons, dinners, etc.
Manage various Department meetings, including off-site and virtual meetings, including logistics, agenda/materials, onsite support and event management.
Coordinates International and domestic travel, visa applications, ground transportation and hotel accommodations and expense reports.
Organize and manage the Department SharePoint Site and other communication efforts to inform stakeholders about our Department's organization, functions and services, and to help make it easier to work with us.
Write a variety of different content to support communications and informational efforts.
Assist the Corporate Communications team in developing and implementing a communications strategy designed to further our Department objectives.
Maintains confidentiality of all corporate, personnel and research matters.
Independently manages multiple projects and in a rapidly changing stimulating environment.
Assist in planning of program/team celebrations/anniversaries/events.
Coordination and alignment with offices in California, the Netherlands and Asia.
Performs all responsibilities with a high degree of discretion and initiative.
Education and experience
High School degree required, Associate's degree preferred or equivalent experience.
Minimum 3 years of administrative experience supporting senior leaders.
Discretion combined with poise and professionalism in all communications.
Demonstrated strength in multi-tasking and prioritizing work with a strong attention to detail.
Excellent planning, organizational and written and verbal communication skills.
Advanced proficiency in Microsoft Office.

Must be proactive and solution-oriented, looking for ways to add value and assist the team.
A positive "can do" attitude and sense of humor are essential.
